What is Case Management in VIGIL CLOUD?

Case Management in VIGIL CLOUD allows you to organize recorded video, screenshots, and incident details into “cases.” That way, you can search through raw footage, take notes, and share information with internal or external stakeholders. This feature is especially useful for internal investigations or assisting law enforcement.

Cases stored in VIGIL CLOUD use non-volatile storage, meaning they remain available after standard cloud retention periods expire. They are only ever removed when an authorized user chooses to delete them.

How to Use Case Management in VIGIL CLOUD

Follow this guide from Erron Spalsbury, Director of Sales Enablement at 3xLOGIC. He walks you through how to get the most out of VIGIL CLOUD Case Management.

 

1. Access the Case Library

From the VIGIL CLOUD dashboard, navigate to the Case Library tab. This is where all case-related activity begins. You’ll see filtering tools across the top and a list of available cases below.

2. Filter & Find a Case

Locate the Filters on the left side of the dashboard.

Use the built-in filters to narrow your case list by:

  • Case status
  • Location
  • Incident type
  • Date created

You can also use the search bar to look for a specific case.

 

3. Review Storage Usage

On the right side of the library, you’ll see your allocated non-volatile storage usage. Storage is automatically assigned per enrolled camera and grows as more cameras are added, with space divided between saved video and screenshots.

 

4. Open & Review a Case

Select a case to open it. A video preview window appears alongside the case details.

From here, you can:

  • Play footage at different speeds
  • Zoom in digitally on areas of interest
  • Toggle full-screen mode
  • Open picture-in-picture mode and move the video window to another screen

This flexibility allows you to review footage while scrolling or adding new details to the case.

 

5. Create or Manage Multi-Cases

Some cases can be grouped into multi-cases, allowing you to combine video from multiple cameras or locations into a single investigation folder. This is especially useful for incidents spanning multiple areas or time periods.

 

6. Add Notes & Documentation

While reviewing footage, you can edit or add case notes directly within the case record. These notes are included in the final case report and help maintain clear documentation.

 

7. Share a Case Securely

Use the Share Case option to send access to internal or external users.

When sharing, you can:

  • Enter an email address
  • Set an expiration date
  • Select permissions (view-only or view-and-download)

All sharing activities are logged and visible to system administrators, ensuring full transparency.

8. Download Case Files

To download a case, click the Download button in the top right of the open case.

Cases can be downloaded at any time, including an MP4 video file and a PDF report with location details, descriptions, and notes.

No special software is required to view the downloaded files.

 

9. Review the Audit Log

Locate the Audit Log by clicking the ellipses button in the top right.

Administrators can access the audit log to see a complete history of actions taken within a case, including sharing, downloads, and changes. That way, admins can ensure accountability and compliance.

 

10. Delete a Case

Users with the appropriate permissions can delete cases when they are no longer needed.

To do this, click on the ellipses button in the top right, then click Delete Case.
